RED SHIFT E-MAIL SYSTEM UPGRADE

CURRENT E-MAIL SYSTEM STATUS


Our new mail system is performing very well. Everyone should be noticing a dramatic increase in connection speed when checking and sending E-mail. E-mail downloads have increased in speed dramatically for customers as well.

Some customers have received “Quota Warnings” that are telling customers that they are about to exceed their quota limit. Please ignore those messages. We do not have quotas operational at this time and no one should experience any actual interruptions.

VIRUS BLOCKING

Our new virus blocking software is operational. It is catching many of the new and old viruses that are coming through in E-mail. We want to stop as much of them as possible from even getting to customer E-mail boxes. If you receive a message notifying you that a message was blocked due to a virus, there is no need to respond to that message. It’s simply our system letting you know it stopped a virus from reaching you.

SPAM BLOCKING

On our new mail system, spam blocking has to be implemented differently than it was on our legacy mail server system. In order to be as certain as possible that no legitimate mail is blocked, we’re running our spam blockers in a mode where it tags spam but does not delete it, yet. That will come soon. In the meantime we are adjusting the system and looking at E-mail that comes through to make sure the spam software is very, very accurate.

For most of our clients, you will see more spam than normal during this transition period so please bear with us a few more days while we tweak the system.

TO HELP US GAUGE SPAM TAGGING ACCURACY:

We would like to engage the help of some of our more tech-savvy clients. If you would be interested in giving us feedback on spam and the accuracy of our spam-tagging system, then please read the rest of this bulletin, everyone else will probably want to stop here.

Look at the full headers of some, or all of your E-mail received, the spam too. You will notice that our E-mail will have a spam header in it and it will look like this.

X-Accessio-Spam-Flag: NO
X-Accessio-Spam-Flag: YES

This is our system telling you whether it believes that message was spam or not. If it says NO, then we didn’t think it was spam, if it says YES then we thought it was spam. You can only see this line if you view your mail with full headers on. Your job, if you choose to accept it, is to report back to us if the system is tagging spam as spam and not tagging legitimate E-mail as spam. Should our system get one wrong, we need to know and adjust our software accordingly.

Here’s how to report your findings:

If you receive a spam message and the header line says:

X-Accessio-Spam-Flag: NO

That means spam got through and wasn’t recognized. Send that report to redshift_userpot@spamprint.com.

If you receive legitimate E-mail and the header line says:

X-Accessio-Spam-Flag: YES

That means our spam blocker thought the legitimate E-mail was spam and we need to definitely know that. Send that report to support@miavia.com.

If you do not know how to view the full headers of messages you receive, review the instructions at the bottom of this message as they encompass the most common E-mail readers in use.

Outlook 2002/XP:
Right-click on your E-mail message. In the Options menu, click “Internet Headers”.

Outlook Express 5 or 6:
Select the message and press Ctrl-F3.

Outlook Express 4:
Right-click on your E-mail message, and select “Properties”. Choose the Details tab, and select the “Message Source” button.

Outlook Express for Mac:
Select the E-mail message. On the View menu, click “Source”.

Microsoft Exchange:
Open the E-mail message. Click on File->Properties, then the Details Tab.
Click “Message Source”.

Microsoft Entourage:
Viewing Headers: Open the E-mail message. In the View menu, click “Source”.

Mac Mail (OSX):
Viewing Headers: Open the E-mail message. Select menu View->Show->Raw Source.

Eudora Pro:
Open the message. On the toolbar just above the message, click the button that reads “BLAH BLAH BLAH”.

Pegasus E-mail:
Viewing Headers: Select the E-mail message, and press Ctrl-H.

The Bat!:
Open the E-mail message, and then either:

* Click on View -> RFC-822 headers; or
* press Control-Shift-K

Netscape:
Right-click on the E-Mail listed. Once the E-mail message is selected, click on ‘View’ from the pull down menu and select ‘Message Source’.
